Moving Into Smallwood
Everything you need to know when moving into Smallwood

Notice: You will receive official notification and reiteration of your move in date. This paperwork will also include a loading dock time that has been assigned to your unit. This notice will be mailed to the address that you listed as your permanent address on your application. You should receive this information before June 15. If you do not receive this notification, please contact us.

Website info: We have posted a schedule of loading dock times and move in dates for Smallwood Plaza for July and August, 2010.

Arrival Time: Please do not arrive more than fifteen (15) minutes prior to your move in to check in and get your keys. If you arrive earlier than this, it creates parking and traffic problems and we have no place to allow you to sit and wait with large trucks.

Loading Dock Times: Please make note of the loading dock time that has been assigned to your unit. It is imperative that you be prompt for this pre-arranged time. If you arrive early, you may be asked to wait until closer to your time. If you arrive late, you will be worked into the dock as time allows. This is due to a tight schedule. We strive to keep the inconvenience to our valued tenants to a minimum during this process.

Loading Dock Info: The loading dock is for rental trucks the tenant may bring or vehicles with trailers attached. All personal vehicles such as SUV's, cars will be unloaded from the parking garage (up to 2 per tenant) based upon availability or the side streets. We do not allow personal vehicles at the loading dock. We will help unload personal vehicles if we have temporary staffing available, but do not guarantee this. However, we will allow tenants to check out carts to assist them w/unloading their personal vehicles

Move In Times: Please make a note of the move in time that has been set for your unit. At this time, at least one roommate will need to be present during the move in inspection that will be conducted. This is a walk through of the unit to assess move in condition before you take possession.

Travel Plans: Our office would encourage you to check your move in and loading dock times that have been preset for your move in date. This will allow you to make flight reservations or travel plans early that will coincide with these times.

Assistance with move in: As a courtesy, we do employ a team of staff members to assist our tenants with move in during the month of August. They will be present on the dock to assist you with moving your items to your unit. There is no charge to you for this service.

Carts: During the month of August our cart room is open. This room is located on B-1 level of the garage. Incoming residents can go to this room and check out an available cart for use to assist with their move in. You will be required to return the carts back to the cart room and check them back in, when you are finished using them.

Please note: Cart availability is limited, especially during high volume times.

Moving Companies: Please note that if you are using a moving company they do not have access to our loading docks. Local moving companies are aware of the process and procedure of moving into Smallwood. Please have your moving company contact us if they are unfamiliar with our policies.

Acceptance of packages: Please note that we will accept no packages or shipments prior to your move in date. If items arrive prior to your move in date, they will be refused.

Location of Mailboxes: Please note that the residential mailboxes are located on the Sub One level of the parking garage. They are to your immediate right and left as you exit the elevators and start to enter the parking garage. Also, in August we will be installing parcel boxes. These parcel boxes are used by the USPS to leave packages that are too big to fit in your mailbox. If you should find a key in your residential mailbox, it will be numbered with the parcel box you would open to retrieve your larger packages. Once you open the parcel box the key will remain in the lock.

Balances due upon move in: Please note that any pro-rated rents due for your unit must be paid in full prior to keys being issued for the unit. If roommates are splitting balances, everyone must pay their portion before we will release keys. Our office would encourage you to use our online payment option to cover any portion you may owe prior to your move in date. Please make a point of having any balances that you owe for move in being paid in full within five (5) days of your move in date. By doing this, you will expedite the move in process. Delays may unavoidable if you do not pay before you arrive. Please keep this in mind. If you choose not to pay on-line, please mail your check well in advance of your move in date.

Acceptance of cash: Please note that our company policy is NOT to accept cash payments in the months of July and August, due to volume. We would appreciate your understanding of this policy. We would suggest that you come with personal checks to cover any unexpected balances during move in.

Electricity: Please note that you must contact Duke Energy prior to your move in date and instruct them to turn the electrical service on in your name. Their number is 800-521-2232.

Renters Insurance: We highly recommend that you purchase a renters insurance policy to cover personal items in your unit. If a natural disaster or accident were to happen, you would need insurance to cover the cost of replacing your personal items.

Vehicle Shipments: From time to time some tenants employ a company to ship their vehicles to Smallwood Plaza. Please note that our office will not accept delivery of any vehicle shipments. You must coordinate this with the company you employ and be present to take delivery of the vehicle.

AiPhones (In room Video Phones): These are in-house phones only. They allow you to call down to the Smallwood Office and to "buzz in" visitors. To call down to the Smallwood Office, simply lift the handset and press the 2nd button (the one with the bell just above it). You won't see any video when calling the Smallwood Office. When a visitor calls from the 1st floor elevator lobby (Visitors use the phone directly across from the elevators, they dial your apartment number and press the bell button), simply pick up the hand set and you should see them on the video screen and hear them through the handset. If you want to "buzz them in" press the last button (the one with the key just above it), this will send the first available elevator car down to the 1st floor and allow them to access any of the floors without having to swipe a key card.
